Description:

Provide administrative support to the Production Managers and Staff by editing and formatting large documents to client standards as well as many other miscellaneous administrative assistant office related tasks as needed. Acts as a resourceful and helpful representative of the administrative team. Demonstrates a trustworthy presence through your professionalism, demeanor, and technical knowledge.

Responsibilities:

·       Edit and format specifications to client standards to meet project deadlines. 

·       Edit and format construction observations reports.

·       Update and maintain document templates for the company.

·       Manage project filing and assist with other office filing including files in offsite storage.

·       Daily entries in tracking spreadsheets.

·       Provide other general administrative support to the office as needed.

 

Required Knowledge and Skills:

 

·       Knowledge of advanced functions in Microsoft Word such as multi-level lists, styles, tables, spacing, vertical spacing, etc. is required.

·       Working knowledge of Microsoft Excel, and Outlook. 

·       Excellent grammar, punctuation, spelling, and document formatting skills. 

·       Working knowledge of Microsoft SharePoint, OneNote and Teams preferred.

·       Highly motivated, well organized, and detail oriented. 

·       Time Management skills and the ability to adjust to changing priorities a must.

·       Ability to be a team player and support others in the team.

·       Excellent oral and written communication skills.

·       Knowledge of Masterworks and/or MasterSpec is a plus.
