Rooms Department Administrative Assistant

OverviewPerform administrative and clerical duties of the Rooms Department.Responsibilities* Handle all administrative and clerical duties for Rooms Director and all Rooms Department Management.* Generate and complete tracking on various spreadsheets and reports, compile data, maintain records for required paperwork for all Rooms Units.* Manage, screen and route all traffic communications for the Rooms office, including communicating professionally via phone, email, mail or radio.* Maintain strict confidentiality of sensitive information while processing details on such topics as revenue, wages, job positions, hiring/terminating, disciplinary actions, payroll and company or departmental changes* Communicate positively and effectively with Rooms Managers to ensure deadlines are met.* Handle, track and maintain the timely flow of all departmental paperwork through to its completion* Assist the Director in communicating information to Rooms department staff to keep all informed of any changes in departmental policies and procedures.* Order supplies for the Rooms office as well as for the department units through appropriate computer systems, maintain control of tour group coupons from ordering, tracking and through to distribution* Maintain positive and collaborative communications with other department administrative assistants and Human Resources regarding personnel or other issues.* Ability to assist the department with any functions, in any area of the department, related to optimizing operations.* Other duties as assigned.Qualifications* Previous office administration experience.* Demonstrated computer proficiency with primary focus on Word, Excel, and Adobe software. Opera and FoodTrak experience a plus.* Professional written and verbal communication skills.* Ability to project a professional and positive impression of the Rooms Department, while interacting with all guests and employees in any areas.* Ability to maintain confidentiality of sensitive materials and information.* Possess valid Arizona Driver’s License and comply with the Xanterra South Rim Company Vehicle Policy.Low-cost in-park housing provided.
