has an opportunity for an experienced Administrative Professional in our Phoenix office to support multiple groups of engineers with flexibility to work overtime when needed.

The ideal candidate will have previous related industry experience and must be able to project a professional company image through in-person and phone interaction.

This role has varied responsibilities including general clerical, receptionist and project based work including, but not limited to:Support project managers and team members as neededPerform general clerical duties including: photocopying, report binding, faxing, mailing, shipping, filing, meeting and travel coordination, preparing expense reports, ordering supplies and upkeep of production room and equipmentCreate and modify documents using Microsoft Office, Microsoft Excel, and Blue BeamMaintain electronic filing systemsAssist with the production of project submittals and agency/client deliveriesAssist Project Managers with contract processes and preparing contract documents, request insurance certificatesBack up receptionist duties (answering phones, sorting and preparing mail/packages)Successfully work with internal and external clientsCold calling clients for meeting setupProactively develop improved processesAble to balance and manage multiple tasks and prioritiesResearch and obtain construction as-builts from municipal agenciesBlue Stake and utility coordinationWillingness to learn and work with new softwareRequirementsHigh School Diploma or equivalentMinimum of 1 year relevant administrative experience in a corporate/professional environmentStrong proficiency in Microsoft Office product suite including Word, Excel, PowerPoint and OutlookKnowledge of Microsoft Office templates and the use of styles in filesStrong verbal and written communication skills including a professional demeanor/phone voiceExcellent typing skills
– Proactive and detail-oriented, ability to multi-task and prioritizeRegular and reliable attendanceAbility to have a flexible schedule and willing to adjust hours to meet client and business needsAble to stand for extended periods and bend/stoop occasionally, lift or maneuver boxes with or without accommodationHas a valid driver’s license and a personal carOccasional driving to client offices will be required.

Mileage will be reimbursed at $0.50 / mile.Willing to work Monday to Friday, 8 am to 5 pm, but flexible to client needs.
